Sr. Executive Assistant- AU Experience (AU Offshoring, WFH)

Salary: P70,000 to P90,000 (Monthly Package)

Schedule: Monday – Friday (09:00 AM- 06:00 PM AEST)

What are we looking for? 

Skills Required:

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting C-suite executives. 
  • Excellent organizational skills, with the ability to manage multiple priorities and deadlines. 
  • Strong written and verbal communication skills. 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with LinkedIn. 
  • Experience managing travel arrangements and event coordination. 
  • Discretion and professionalism in handling sensitive and confidential information.

  • Ability to adapt quickly in a dynamic environment.
  • Exceptional interpersonal skills with a customer service focus.
  • Tech-savvy and quick to learn new software applications.

What will you do?

Email and Calendar Management: 

  • Handle daily email correspondence for the CEO and COO, prioritizing messages and ensuring timely responses. 
  • Organize and maintain the executives’ calendars, coordinating meetings, appointments, and travel arrangements. 
  • Anticipate and proactively prepare the CEO and COO for upcoming meetings with relevant materials and agendas. 

Administrative and Operational Support: 

  • Oversee general company administration, including management and payment of vehicle registrations, tolls, and fines. 
  • Support daily office functions, including filing, documentation, and office supply management. 
  • Develop, format, and update operational documents, policies, and procedures as directed by the CEO and COO. 

Social Media and Online Presence Management: 

  • Manage the LinkedIn profiles of the CEO and COO, ensuring content remains up-to-date and engaging. 
  • Coordinate posts, track engagement, and manage professional interactions to support the company’s online presence. 

Travel and Event Coordination: 

  • Arrange and manage business travel for the CEO and COO, ensuring smooth itineraries and cost-effective planning. 
  • Assist in the planning and coordination of company events, meetings, and external engagements. 

Documentation and Reporting: 

  • Prepare and review correspondence, reports, and presentations on behalf of the CEO and COO. 
  • Maintain organized and easily accessible electronic and physical filing systems. 

Project Assistance and Process Improvement: 

  • Support ongoing projects by coordinating tasks, managing deadlines, and tracking progress to ensure deliverables are met. 
  • Identify opportunities to improve processes and streamline executive support functions, contributing to increased productivity for the CEO and COO. 

Additional Responsibilities: 

  • Coordinate and facilitate team communications and meetings, including preparing agendas and taking minutes when required. 
  • Manage confidential and sensitive information with discretion. 
  • Act as a liaison between the CEO, COO, and other departments or external stakeholders, fostering clear communication. 
  • Assist with ad hoc projects and duties as assigned to support the smooth operation of the executive office.
