Job Description

THE SELECTED CANDIDATE WILL BE OFFERED A SALARY BETWEEN $70,000.00 - $80,000.00.

The Administration for Children’s Services (ACS) protects and promotes the safety and well-being of children and families through child welfare and juvenile justice services and community supports. ACS manages community-based supports and foster care services and provides subsidized childcare vouchers. ACS child protection staff respond to allegations of child maltreatment. In juvenile justice, ACS oversees detention, placement and programs for youth in the community.

ACS' Office of the First Deputy Commissioner (OFDC) strives to implement agency goals and ensure the fulfillment of ACS' mission to create and uphold a collaborative, community-based and integrated approach to child and family safety, permanency, and well-being. The First Deputy Commissioner serves as the Commissioner's senior delegate and represents the Commissioner, when necessary.

OFDC is seeking a dynamic, motivated, and detail-oriented individual to serve as Special Assistant, reporting directly to the ACS First Deputy Commissioner to provide day-to-day support. With latitude for independent judgment, the Special Assistant will support the First Deputy Commissioner and OFDC Senior Leadership. This position will be involved with a variety of administrative tasks throughout the ACS community, many of which will require multi-unit or multi-divisional coordination.

The duties and responsibilities of the Special Assistant will include, but will not be limited to:

- Serve as a key liaison between the Executive Office, ACS divisions, and external stakeholders by ensuring effective collaboration, responsiveness, and timely decision-making

- Assist with the planning and coordination of special OFDC projects by managing timelines, resources, and deliverables to ensure successful outcomes

- Coordinate with the Assistant Commissioner for Business Operations to support the management of all personnel matters for the division

- Review and support contract management, including but not limited to, serving as a PASSPORT systems Liaison for Central OFDC operations, coordinating services and supporting NSCC operations, when needed

- Coordinate administrative functions for OFDC operations’ IT needs, and provide other administrative support, as needed

- Serve as the OFDC Wellness Liaison tasked with ensuring staff are aware of and engaged in available wellness initiatives, including overseeing events planning/activities designed to continually enhance staff engagement and team building (e.g., annual retreat, special recognition events, etc.)

- Provide strategic administrative support to ensure seamless management of schedules, priorities, and communications channels

- Assist the First Deputy Commissioner in managing scheduling matters, and act as an alternate support to Senior Advisor to First Deputy Commissioner and direct reports

- Prepare draft notes/finalize materials for agency reports, meetings, special events and projects, as needed

- Manage phone calls, correspondence, tools and resources, including central email boxes and surveys to inform and support agency-wide projects and initiatives

- Accompany the First Deputy Commissioner and/or Senior Advisor at various internal meetings and take minutes for distribution

- Assist with other administrative initiatives, as needed

Section 424-A of the New York Social Services Law requires an authorized agency to inquire whether a candidate for employment with child-caring responsibilities has been the subject of a child abuse and maltreatment report.

Qualifications

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.
