Job Description

The Administrative Assistant is responsible for various administrative, coordination and support aspects of his/her work area. The successful candidate will also be responsible for document management, quality control of deliverables and internal documents, as well as certain internal and external correspondence, all in line with CIMA+ standards, in addition to playing a key role in creating value for his/her team thanks to his/her sense of support.  

Primary Responsibilities 

  • Revise, edit and format technical documents according to CIMA+ standards
  • Support the preparation of service offers and send deliverables to customers
  • Document management and archiving according to CIMA+ standards
  • Open projects in our systems with SharePoint
  • Draft reports and follow-up minutes of project meetings
  • Keep the quality system up to date
  • Participate in the implementation of tools (e.g. tracking files) in a continuous improvement mode requested by department heads.
  • Coordination of internal events, e.g. departmental meetings, lunch & learn, Christmas parties, etc.

Qualifications

  • Vocational or college diplomas in secretarial or administrative studies
  • Working knowledge of SharePoint, Teams, M365, Acrobat, Blue Beam
  • Fluency in written and spoken French and English
  • Ability to communicate effectively and cordially in writing and verbally
  • Autonomy: organizational skills, priority management, stress management and resourcefulness
  • Capacity for continuous learning (e.g. CIMA+ training courses)
  • MS Project, Dynamics and Visio - assets
