Event Planner

The TBD role is responsible for organizing and managing meetings, film premieres, and external events for the organization or clients. This role involves strategic planning, vendor management, logistics coordination, and budget oversight to deliver high-quality experiences. The ideal candidate has experience handling complex events, both live and virtual, and can work independently while collaborating with cross-functional teams.

Essential Function
  • Plan and execute live and virtual events, ensuring alignment with organizational objectives.
  • Implement event strategies to maximize audience engagement and success.
  • Research, evaluate, and recommend event venues to best fit the event's needs.
  • Manage logistics, including attendee registration, transportation, accommodations, catering, and technology requirements.
  • Conduct rehearsals and system checks to ensure flawless event execution.
  • Build and maintain relationships with vendors for event support services.
  • Develop and manage event budgets, ensuring all events stay within cost projections.
  • Lead the planning of larger or more complex events, ensuring all aspects run smoothly.
  • Contribute to defining the overall event strategy and vision to enhance event impact.
  • Troubleshoot and resolve issues that arise before or during events to ensure successful outcomes.
  • Must attend and contribute to regularly scheduled staff meetings.
  • Proficiency in speaking, reading and writing in the English language required.  Additional language proficiency is a plus.

  • A quick study, able to pick up new skills and learn how to use new programs.
  • Must participate in setting and achieving regularly scheduled and outlined objectives. 
  • Ability to take individual ownership, execute with high energy, share context, insist on candor with positive intent.
  • Strong project management and organizational skills, with the ability to handle multiple tasks simultaneously.
  • Experience planning both in-person and virtual events.
  • Excellent communication, negotiation, and relationship-building abilities.
  • Experience managing event budgets and cost control.
  • Ability to work independently while collaborating with internal and external teams.


Work Environment
  • When in the main office, expect a comfortable, air-conditioned work environment. Team members are issued their own desks, but the office is an open, shared space and can be fast-paced and occasionally noisy.
  • Physical demands - Must be able to sit or stand at a desk for extended periods of time. Ability to stand, walk, and move quickly for extended periods during event setup and execution. Capability to lift, carry, bend, and climb for tasks such as setting up decor, equipment, and signage. Flexibility to work in varying conditions, including both indoor and outdoor venues, with exposure to different weather or crowded spaces. Willingness to work extended hours, including evenings, weekends, or holidays, and handle physical demands during high-pressure event times. Must be able to carry or lift up to 25-30 lbs regularly and occasionally lift heavier objects up to 50 lbs.
  • Position type and expected hours of work - Regular full-time, 40 hours per week.
  • Travel required - Occasional domestic or international travel required. Must have a current passport and be willing to travel for overnight stays and multi-day events.


Required Education and experience
  •  Bachelor’s degree or equivalent experience in event management, marketing, communications, or a related field.4-7 years of experience in event planning, with a track record of managing large or high-profile events.
  • Proficiency in event management software and virtual event platforms.

  • Work authorization - Must be authorized to work in the United States.
