Job Description

We’re looking for:

The Lead Veterinary Receptionist is responsible for overseeing the front desk operations of the veterinary clinic, ensuring smooth and efficient customer service. This role involves supervising and training reception staff, managing patient intake, scheduling appointments, handling phone inquiries, processing payments, and maintaining accurate records. The Lead Veterinary Receptionist also acts as a liaison between clients and the veterinary team to ensure a positive and seamless experience for pet owners.

Job duties include, but are not limited to:

  • Leadership & Supervision:

    • Supervise and provide guidance to the reception team, ensuring high-quality service.
    • Train, mentor, and evaluate new and current reception staff.
    • Assist in setting work schedules and managing daily staffing levels.
    • Foster a positive and collaborative work environment.
  • Customer Service & Client Relations:

    • Greet and check in clients and their pets, providing a friendly and compassionate atmosphere.
    • Answer client calls and emails promptly, addressing inquiries, concerns, and appointment requests.
    • Handle difficult situations, resolving client complaints in a professional and courteous manner.
    • Maintain a calm and organized environment during busy periods.
  • Communication:

    • Communicate effectively with veterinary staff to relay information about patient needs and treatments.
    • Relay test results, diagnoses, and treatment plans to clients as directed by the veterinarian.
    • Educate clients on basic pet care, preventive measures, and clinic policies.
  • Facility & Workflow Management:

    • Ensure that the reception area is clean, organized, and welcoming.
    • Monitor and manage the clinic’s waiting room flow to minimize wait times and enhance the client experience.
    • Oversee the opening and closing of the front desk area, including cash handling and securing the facility.

Qualifications

Qualifications:

  • Supervisory or leadership experience in a team-oriented environment.
  • Strong communication and interpersonal skills.
  • Knowledge of veterinary terminology and procedures is a plus.
  • Proficiency in office software (e.g., Microsoft Office, veterinary practice management software).
  • Ability to handle sensitive and confidential information with discretion.
  • Compassionate, organized, and detail-oriented with strong multitasking abilities.
  • Self-starter with the desire to continue to advance your knowledge and skillset
  • Open availability with flexibility to change hours based on hospital’s needs

Additional Information

Pay Range: $30-35/hr depending on experience
