Role: Freight Coordinator

Role Overview
We are seeking a highly organized and detail-oriented Freight Coordinator to join our Logistics
team. This role will be critical in coordinating the movement of goods between our 3PL
(third-party logistics) warehouses and our retail partners’ store locations. The ideal candidate
will own the end-to-end freight scheduling and delivery management process to ensure
seamless delivery and return operations.
Key Responsibilities
1. Pick-Up and Delivery Coordination
- Communicate daily with carriers, freight forwarders, 3PL warehouses, and retail partners to plan routing schedules based on time-critical pickup and delivery appointments.
- Schedule and confirm pick-ups of inventory from 3PL warehouses based on outbound shipping plans.
- Coordinate delivery appointments with retail partner stores and carriers to ensure timely arrivals.
- Manage shipping documentation, including BOLs, parcel labels, packing slips, and commercial invoices.
- Track shipments in transit and proactively communicate updates to internal and external stakeholders.
2. Exception and Issue Management
- Monitor delivery status and manage exceptions such as delays, missed pick-ups, failed deliveries, or damage claims.
- Proactively communicate exceptions to internal stakeholders.
- Work cross-functionally with carriers, warehouse teams, and retail partners to resolve issues promptly.
- Maintain accurate records of delivery incidents and drive continuous improvement with logistics providers.
3. Return Shipment Management
- Schedule and manage reverse logistics from store locations back to 3PL warehouses.
- Ensure return shipments are accurately documented, labeled, and tracked.
- Verify receipt and condition of returned inventory and update internal systems accordingly.
4. Data Accuracy & Reporting
- Maintain shipment logs, track KPIs (on-time performance, issue resolution, etc.), and prepare regular reports for the logistics team.
- Audit freight invoices and delivery records to ensure accuracy and compliance with agreed terms.
5. Communication & Stakeholder Alignment
- Act as the central point of contact for freight scheduling and updates across internal departments and external logistics partners.
- Communicate clearly and consistently with store managers, warehouse contacts, and freight providers.
Qualifications
- 2+ years of experience in freight coordination, logistics, or supply chain support, ideally with retail and/or 3PL exposure.
- Strong organizational skills with the ability to handle multiple shipments and exceptions simultaneously.
- Experience working with ERP (e.g. Netsuite), TMS (Transportation Management Systems), WMS (Warehouse Management Systems), or shipment tracking tools.
- Excellent communication and customer service skills.
- Proficiency with Excel and Google Sheets for shipment tracking and reporting.
- Ability to work independently in a remote/offshore environment and manage time zones effectively.
